Booking Requests

Rooms and Tables

If you are unsure of the procedures to book any of these rooms, please consult the Clubs Manual.
If the request is not submitted to the Clubs Coordinator and/or the contract and deposits are not handed to the SFUO, your request will not be processed.

Clubs are eligible to 10 tables free of charge per semester. The free tables are to be used only in the University Centre.

Room bookings in the University Centre are unlimited and free for Clubs, except for the Alumni Auditorium and technical services.

Clubs are eligible to 15 rooms free of charge per semester outside of the University Centre. When reserving the rooms, it is only the physical space. If multimedia equipment is required, each Club must reserve and pay for any multimedia equipment it wishes to use.
Multimedia equipment can be reserved through Multimedia Services at MRT 014. For more information please contact Multimedia Services at 613-562-5900. Clubs may request a subsidy to cover the costs of multimedia equipment bookings.

The following are the lecture halls where Clubs and Societies can rent the fully equipped multimedia podium (in order of smallest to largest):

  • LMX 339 and 342 are lecture halls with a capacity of 44 each.
  • SCS E217 is a lecture hall with a capacity of 77 people
  • MNT 201 is a lecture hall with a capacity for 100 people
  • SITE A0150 is a lecture hall with a capacity of 124 people
  • CBY C03 is a lecture hall with a capacity of 210 people
  • MNT 202 and 203 are lecture halls with a capacity for 244 people each
  • MRN AUD is a lecture hall with a capacity of 420 people

These rooms are free of charge all week long during the fall and winter semesters

Clubs must place a $20 deposit at the time of signing the Multimedia Rooms contract and picking up the card to access the multimedia equipment at the Clubs Coordinator’s Office (UCU 030A, located in the Clubs Room).

Requests for room bookings must be submitted at least 5 business days prior to the proposed event. If the request is not submitted 5 business days in advance, there is no guarantee of confirmation of reservation.

Requests for table bookings must be submitted at least 5 business days prior to the proposed event. If the request is not submitted 5 business days in advance, your request will not be approved.

The Clubs should receive an answer or response from the respective booking department by the 5th business day, unless there are any complications.

To ensure proper response time and reduce the risk of delay, please fill out all the sections as specific as possible.
